How do I extract patient data from my Medical Office Online EHR?

You can extract patient information directly from your Medical Office Online electronic health record (EHR) system in order to receive notifications for these patients in MX Notify. To extract patient data from your Medical Office Online EHR system, follow these steps:

  1. Go to Practice Management then click on Custom Reports

  2. Select new reports, from the drop down in the upper right of the pop up

  3. Select Patient Report from the drop-down menu

  4. Type Name of the report in the red outlined box, if desired enter a brief description of the report

  5. Go down to next section called Selection Criteria

  6. This is the area where you can narrow down the results of the report, you can restrict by sex, in house provider, diagnosis, care provider, insurance zip, etc.

  7. Report Options: In this section you will select yes or no for the selected option you wish to show up on your report, leave categorized selected to alphabetize the results

  8. Continue down the report selecting yes or no to the options you wish to show on the report. Order is where on the report you wish for the option to show up first, so if you want SSN displayed first instead of the name, select it as 1

  9. Once done, click save in the upper right corner, then click run report in upper left corner for completed report

  10. Locate the file on your computer and open it

  11. Save the completed report as a .CSV file

  12. Locate the new file and verify its contents and format are correct

You will have now successfully extracted your patients information from your EHR system. To get notifications in real-time whenever these patients have encounters, please submit your patient panel list via the MX SFTP site.
