You can extract patient information directly from your Medical Mastermind electronic health record (EHR) system in order to receive notifications for these patients in MX Notify. To extract patient data from your Medical Mastermind EHR system, follow these steps:

1. Go to the Patient Search Option #1

2. Enter the DOS (Date of Service) only and use 18 months

3. Select the Create Ascii File option

4. After the message “ Patient.Dat” created appears, go to the MM folder to locate the “Patient.Dat” file. Make sure you select the one with actual data- the one that shows (zero) data will not contain any information

   • The MM folder is titled "mmw"

   • When you find the "Patient.dat" file, open it and save to Documents – not desktop

5. Open Excel and select a new sheet. At the top of the toolbar, select the data option and either choose from (access) or from (text). Depends on the version of Medical Mastermind

6. Go on your desktop or in your documents to abstract the “Patient.Dat” file created

7. A dialogue box will appear. Delimited option is already selected so click next, and then another dialogue box will open to the delimiters: Tab is already selected but check off the comma box if needed and click finish

8. Updated tip: When moving data to Excel, please select "Text" option and "add comma," and "add headings"

9. The Import data box will open and will say “Where do you want to put the data? The existing worksheet will be fine

10. “The Data Will Appear in the Excel Spreadsheet”

11. Save the completed report as a .CSV file

12. Locate the new file and verify its contents and format are correct

You will have now successfully extracted your patients information from your EHR system. To get notifications in real-time whenever these patients have encounters, please submit your patient panel list via the MX SFTP site.
