How do I extract patient data from my eClinicalWorks EHR?

You can extract patient information from your eClinicalWorks electronic health record (EHR) in order to receive notifications for these patients in MX Notify. To extract patient data from an eClinicalWorks system, follow these steps:

1) Login to eClinicalWorks.

2) On the left-hand column, click the Registry tab.

3) Once in that tab, there is another tab that says Registry again, click that.

4) Click Encounters.

  • Set the Date Range back 18 months.

  • Click Run New (or Run Subset if that doesn’t work).

  • Click Save Queries then Save As.

5) Click Saved Reports.

  • Select the report you saved.

  • Click Run Saved Report.

  • Set the Encounter Date Range back 18 months.

6) Select the Reports tab from there.

  • Set the Date Range back 18 months.

7) Two reports need to be formulated.

  • Default patient list (For the patient date of birth only)

  • Patient list with address

8) Export both reports as a .CSV file.

9) Locate the file on your computer and verify the contents and format are correct.

You will have now successfully extracted your patients information from your EHR system. To get notifications in real-time whenever these patients have encounters, please submit your patient panel list via the MX SFTP site.
