How do I bulk add new users in MX Access?

MX Access allows for several users to be added at once to an organization through a bulk load process. You will need to start by creating your list of patients in either MS Excel or as a comma delimited format.  An example MS Excel file is also attached to this article. 

Below are all the columns that you can populate for the bulk upload:

  • First Name
  • Middle Name
  • Last Name
  • Email
  • Organization
  • Role (multiple roles can be included with commas separating each role)
  • User Name
  • Password
  • Suffix
  • Title
  • Alias
  • Phone Number
  • NPI
  • Practice Name

FirstName, LastName, Organization, Role, Username and Password are the only required fields for a user to be created and to be able to successfully log in.  

Once you have created your import file you can upload the users into MX Access.

Next, from the Home Page navigate to the “Master Organization Directory”.

 

Click “Import Users”

 

Click “Select A File”. A file search will display

 


Navigate your file and click “Upload”.

 

After you have uploaded the file, click “Import”. Don’t worry, you will have a chance to review the users to be imported and adjust the mapping of fields before the system imports anything.

 

 

The file will display within the loader as shown below:

 

Now, you are ready to map each column. If the first row in your data contains column headers, select the check box next to “First Row is column names” to remove the column headers from the upload.

Next, map each column to its corresponding field by clicking the drop-down button for each column and selecting the appropriate field.

 

Once you have finished mapping, you can choose to either “Save Mapping” to upload later or “Save Mapping and import users” to upload now.

 

Reminder: Roles must match the actual role names in the system. If a User needs multiple roles, then separate each role by a comma. See What are the different user roles that can be assigned in MX Access? for exact spelling.

Passwords are temporary. The User is required to create a new password after he/she successfully logs in the first time with the temporary password.
